GENERAL INFORMATION/LOGGING IN

A: WASTELINQ is hosted on Amazon Web Services.
A: The data stored in WASTELINQ, including documents, are backed up daily.
A: WASTELINQ was built by industry professionals and has been used for over 15 years in the waste management industry. Little to no customization is needed to integrate WASTELINQ into your current operations. However, WASTELINQ does have the flexibility to allow our users to configure the application to meet the needs of their business.
A:

If you are having trouble logging in, first try resetting your password. On the log in screen, click "Reset Password."

You will be prompted to enter your Username and email address. Click “Reset Now.” An email will be sent to the email address entered with a link and instructions on resetting your password. Note: The email address entered must match the email address that is set up in WASTELINQ

A:

If you forgot your username, click “Forgot Username” on the log in page. You will be prompted to enter your email address. An email will be sent to the email address entered with a link and instructions on resetting your username. Note: The email address entered must match the email address that is set up in WASTELINQ.

GENERATOR/CUSTOMER INFORMATION

A: For data integrity purposes, WASTELINQ does not allow two users to access the same generator account at the same time. A red lock will appear by the account name. To determine which user is in the account, hover your mouse over the lock and the user will be displayed.

A: If there is a reason to delete a generator, you may accomplish this by choosing the “Disable Generator” status in the Generator Data tab. This status removes the Generator record from the list of Generators. Enter the Generator Account you wish to disable. Go to Status. Click “Disable Generator” then click “Save.”
A: The Service Profile is found under the Generator Data tab within each Generator. Complete the top portion of the service profile, then click “Save”.

Once you click save, the Vendor Detail, Transportation Detail, Pricing and Fees sections will open. Complete all fields as necessary. See the WASTELINQ Enterprise User Guide to learn more about the Service Profile.

A:

Yes, products and services code may be moved to the spot on the service profile corresponding to the location where you would like it displayed on the order. Click and hold the mouse button while hovering over the products and services code that you would like to move. Drag the item to the correct space and release the button. Click save or save and next to complete the save.

Products and services codes may also be dragged and dropped within the order.

PROFILES

A: Ensure that all required fields are completed, including all fields on the Processing Detail tab. If all required fields are completed, ensure that at least one Approval # Status in the Profile Disposal Facility detail table is set to “Approved.”

A: A profile must have an Approved profile status to be added to an order. If there are multiple approvals for a profile, only those with an approved status can be added to an order.
A: User read/write access to profiles are controlled by the Admin users. If you cannot edit a profile or change a profile status to another status, then your user profile has not been granted that access. Please see your WASTELINQ administrator. The Profile Approval Levels are configured in the Set Up Tools under Company Configuration: Profile Approval Levels.
A: Profile pricing may be locked which will protect the pricing from any pricing updates made in the Waste Product Code Table. To lock profile pricing, go to the Processing Detail tab in the profile. For each processing detail line, change the Lock column to “YES.”

A: Yes, hold down the Ctrl key and select the documents to upload.
A: Cost is associated with TSDF and a Waste Product Code. The cost is entered in the Set Up Tools – Materials Management – Waste Product Code under Waste Product Code Cost and Pricing Information. This cost is pulled into the profile and is used to calculate an estimated cost for the orders.

ORDERS/WASTE TRACKING/OUTBOUND

A: If the “Add an Order” button is missing it is likely that information in the Generator Data tab is missing. Both a Primary Contact and a Customer Bill To must be associated with the account in order to create an order. Return to the Generator Data tab to update this information.
A:

The estimated weight in the processing detail of the profile is calculated by multiplying the specific gravity entered on the profile by the volume of the container. If the waste is packaged, a standard weight for the type of container type/size is added.

Specific Gravity x Volume + weight of container (if applicable) = Estimated Weight

The estimated weight on a waste material line in an order is calculated by multiplying the specific gravity entered on the profile by the volume of the container and container count. If the waste is packaged, a standard weight for the type of container type/size is added.

A:

The Fully Scheduled Outbound, Fully Shipped to Disposal, and Transferred Line Statuses are grey out because they will update when the line/manifest gets to certain stages. Further explanation below:

Fully Scheduled Outbound – The manifest (and associated waste containers) listed on the line is added to a scheduled outbound shipment.

Fully Shipped to Disposal – The manifest (and associated waste containers) listed on the order line has been shipped on an outbound shipment.

Transferred - The manifest (and associated waste containers) listed on the order line has been shipped to another facility owned by the ESC.

A: No. Currently, WASTELINQ associates a single truck/driver with each order.
A: If the DOT description is not printing on the manifest, it is typically due to the font size being too big. Another cause is there are missing punctuation marks in the description such as a missing comma after the UN/NA #. To adjust the font, an admin user will need to go to Set Up Tools – Print Options to make the appropriate adjustments.
A: For a manifest to be added to an outbound shipment order, all lines of the manifest must first be set to a line status of “Reconciled” within the order.

INVOICING

A: Yes. Two or more orders can be added to a single invoice in the Accounting module. The Accounting tab within the Generator accounts allows the user to add multiple orders for that generator to a single invoice. The Accounting Module Tab allows the user to add multiple orders from multiple generators to a single invoice if the Customer Bill To is the same.
A: As long as a payment has not been posted to an invoice, an invoice can be deleted. To delete an invoice, go to the Accounting Main tab or the Accounting tab within a Generator. In the invoice list, find the invoice to delete, and select “Delete” from the Action drop down menu. When asked, “Are you sure you want to delete this item?” click Yes.
A: All fees per customer are configurable in the Service Profile under the Fee Tab.

Under the Fee tab, each established fee will be listed with the Company’s list rate or amount. Each field of the fee – Name, Type, Rate%/Amount$ and Apply – can be edited and customized for the generator account you are in. Click “Save.”

A: Fees can be set up to apply to the entire order, only waste line, or only product and service items. They can also be set up as a percentage or a flat fee. Fees are established in the Set Up Tools – Product & Services – Billing – Fee. Create a new fee or edit existing fees in this table.
A: To update the fees on an order, click the Apply Current Fees button within the order. The updated rates will apply.
A: A Fee can be edited or inactivated by generator in the Service profile for that generator. In the Service Profile, go to the fee tab. Click on the rate you would like to edit and make the correction. If a fee does not apply to a generator, change the status from Active to Inactive. Then click “Save.”
